Job Description
The Office for Research Initiatives and Global Programs at Harvard Medical School oversees inter-departmental and inter-institutional research initiatives, including the Therapeutics Initiative, which leverages translational research programs towards therapy development, and the Massachusetts Consortium on Pathogen Readiness (MassCPR), which brings together infectious disease specialists to enhance pandemic preparedness. Reporting to the Executive Director, the Senior Program Manager will be responsible for implementing and carrying out the day-to-day operations of programs and services for MassCPR. The ideal candidate will bring a blend of operational expertise, program and project management skills, and a passion for public health.
Key duties and responsibilities of the Senior Program Manager include:
1. Communications
- Centralized management: Develop clear and consistent communication with both internal and external stakeholders regarding program progress, updates, and milestones. Serve as point person for program inquiries. Organize coordinated communication with internal teams (e.g., research, communications, development) on outgoing communications, network outreach and growth, and accomplishments visibility.
- Content development: Co-author programmatic reports, presentations, and content for the MassCPR media and communications platforms. Develop materials that communicate MassCPR's impact to stakeholders, funders, and the public.
- Platforms and Tools: Develop and maintain new MassCPR website, manage MassCPR email account and media accounts, ensuring content is up-to-date and relevant to stakeholders.
2. Operations and Execution
- Identify, select, and invite external speakers for monthly MassCPR working group meetings.
- Oversee and independently operationalize four MassCPR working groups, coordinate working group faculty leaders and participants, schedule and host working group meetings, and generate meeting notes and recordings.
- Organize, plan, and fully execute MassCPR events, webinars, and workshops, including managing logistics and partnerships. Plan and lead implementation of annual symposium, working closely with external institutions, vendors, and guest speakers.
- Manage relationships with vendors and contractors, such as event planners, consultants, web developers, and other service providers. Ensure timely delivery and quality of contracted services.
- Serve as the main program contact on issuance, management, and oversight of research awards in collaboration with the MassCPR Executive Director, finance team, preaward team, and Office of Research Administration.
- Assist MassCPR grant manager with financial reporting and monitoring of budgets.
- Develop and implement protocols and best practices to optimize workflows and resource allocations. Track and monitor performance metrics to evaluate overall operational effectiveness and make necessary adjustments. Continuously assess and improve MassCPR's internal processes, policies, and procedures to enhance efficiency, effectiveness, and impact.
3. Program Strategy and Planning
- Partner with the Executive Director on the scaling and management of existing programs and the development of new programs involving academics, clinicians, and industries. Serve as point-of-contact between all stakeholders and drive collaborative decision-making throughout program development and execution.
- Serve as a thought partner in shaping programmatic vision and contributing to fundraising.

Qualifications
Basic Qualifications:
- 5 or more years of relevant experience required.
Additional Qualifications and Skills:
- Bachelor's Degree preferred.
- High degree of discretion, organization, reliability, and understanding of administrative structures.
- Experience: Proven experience in program and operations management, ideally within academia, hospitals, public health, non-profit, or research-based organizations.
- Program Management: Expertise in complex program management, with the ability to manage multiple programs simultaneously, prioritize tasks, and meet deadlines.
- Communication: Strong written and verbal communication, interpersonal, and facilitation skills, with the ability to craft compelling reports, presentations, and other materials for diverse audiences.
- Stakeholder Engagement: Proven track record in relationship management, including building and nurturing partnerships to achieve shared objectives.
- Collaboration: Demonstrates commitment to inter-institutional collaborative work.
- Leadership: Demonstrated leadership skills with experience managing cross-functional teams and guiding colleagues in the successful completion of projects and events.
- Problem-Solving: Strong critical thinking and problem-solving abilities, with a focus on operational efficiency and continuous improvement.
- Tech-Savvy: Comfortable using digital tools and technologies, including website management, social media platforms, Microsoft Office, MailChimp, Zoom, Qualtrics, and YouTube with the ability to quickly learn and use new software.
- Analytical Skills: Ability to track key performance indicators and analyze operational data to inform decision-making and strategy.
- Organizational Skills: Track record of process improvements, complex event management, and project management.
Additional Information
- Appointment End Date: This is a term position with an end date of December 31, 2027, from the date of hire, with the possibility of extension, contingent upon work performance and continued funding to support the position.
- Standard Hours/Schedule: 35 hrs. per week | Monday - Friday | 9:00 am - 5:00 pm

Work Format Details
This position has been determined by school or unit leaders that some of the duties and responsibilities can be effectively performed at a non-Harvard location. The work schedule and location will be set by the department at its discretion and based upon operational needs. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the University's Policy on Employment Outside of Massachusetts. Additional details will be discussed during the interview process. Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
