Description
Job ResponsibilitiesThis position reports directly to the Head of the Sustainability Department of Golisano Institute for Sustainability (GIS) and provides critical administrative and student support to the Institute, the department faculty, and the department's graduate programs. In addition, the Senior Staff Assistant carries out necessary tasks associated with the process of hiring faculty, operational staff, adjuncts, research assistants, co-op's and student office workers.
This position will have, but is not limited to, the following responsibilities:
- Provides on-campus staffing of the department on a daily basis (8am - 5pm) with consistent and dependable coverage to include greeting students, outside visitors, and faculty during normal working hours.
- Provides information and administrative support to potential, incoming, and current graduate students, including orientation information, end of year events, course offerings, and program and Institute policies. Provides assistance and information regarding graduate assistantships and scholarships, scheduling, certifications, registration and matriculation procedures.
- Provides direct administrative support to the Department Head and faculty. Manages administrative needs for the department including scheduling appointments and meetings, arranging schedules for prospective faculty, travel arrangements, travel expense reports, ordering equipment, hospitality and supplies, and reserving meeting rooms.
- Point of contact for all paperwork related to graduate student records. Performs graduate student academic degree audits.
- Reconciles department procurement card, including preparing internal purchase orders and obtaining receipts.
- May be responsible for scheduling courses offered by GIS each semester.
- Maintains proficiency in use of specialized administrative accounting, timekeeping and event management systems.
- Maintains, updates and manages multiple electronic databases and distribution lists.
- Prepares purchase requests as needed.

Required Qualifications

- Proficiency in Microsoft Office Suite
- Sensitivity to the concerns of a diverse student body
- Ability to multitask and prioritize/handle conflicting demands to meet priorities and deadlines
- Reliability and a commitment to maintain confidentiality
- High degree of organizational skills and a strong work ethic
- Ability to work collaboratively with other Staff Assistants within GIS, and with many diverse groups across campus
- Strong interpersonal skills with the ability to provide a friendly and welcoming office environment
Preferred Qualifications
Five years' experience preferred in an academic setting.
